Planning, Reservations, & Travel Policies

I specialize in custom itinerary planning and work with carefully vetted hotels, transportation providers, and tour operators to create seamless travel experiences.

All travel arrangements are confirmed using the client’s credit card and are paid directly to the hotel, rail company, or tour provider. I do not hold or collect client funds.

Reservations Confirmations

Each traveler will receive a copy of every reservation confirmation issued by the individual hotels, rail companies, and tour providers. These confirmations include booking details, payment schedules, and applicable cancellation terms. Clients are encouraged to review all confirmations carefully upon receipt and notify me promptly of any questions or discrepancies.

Cancellation, Charges & Rates

All bookings are subject to the individual payment and cancellation policies of each hotel or supplier.

I generally recommend booking the best available flexible rate rather than prepaid, non‑refundable, or discounted rates, as these often carry stricter penalties and offer limited flexibility if plans change. The final decision on rate type rests with the client.

Accommodation & Supplier Policy

I work primarily with professional, agent‑supported suppliers that partner with travel advisors and are approved by Global Travel Collection. I do not arrange bookings for private home rentals, including B&Bs, VRBO, Airbnb, or similar accommodations, unless they are part of an approved and vetted supplier program.

Travel Insurance

Comprehensive travel insurance is strongly recommended for all travelers. Travel insurance may cover eligible trip cancellations or interruptions, medical emergencies, evacuations, delays, and other unforeseen events. Insurance is particularly important when reservations are non‑refundable or involve substantial advance planning. Coverage varies by provider and policy. I recommend booking insurance within 7 days of the first reservation to qualify for early purchase benefits.

Airfare & Flight Planning

Calgary (YYC) and Vancouver (YVR) are well served by frequent flights and provide convenient connections to major international hubs throughout the United States and beyond. This makes travel to the Canadian Rockies accessible from most global departure points.

When air booking assistance is requested, I am happy to refer clients to a dedicated airline specialist within our office who focuses exclusively on air travel and can provide expert support before and after ticketing.

Planning Services & Trip Cancellation

Custom itinerary planning requires significant professional time for research, coordination, and booking management. Once travel arrangements are confirmed, this work will be completed on the client’s behalf.

If a trip is canceled once travel arrangements are confirmed, a planning cancellation fee of up to 10% of the total trip cost may apply to cover professional services already rendered. This fee is separate from, and in addition to, any cancellation fees or penalties imposed by individual suppliers.
